How to Set Up an Email Autoresponder — And Why It's Not the Same as Outlook's Out of Office

Your hosting email doesn't have an "Automatic Replies" button like Microsoft 365 — but the feature exists. Here's where to find it, how to set it up, and when to use cPanel autoresponders vs Outlook rules.


We hear this question a lot: "My old Microsoft 365 account had an Automatic Replies button — why doesn't my new hosting email have one?"

The short answer: it does. It's just in a different place, because cPanel hosting email and Microsoft 365 are fundamentally different systems that handle the same problem in different ways.

This guide explains the difference, shows you exactly where to find the autoresponder feature on your hosting account, and covers the Outlook-based alternative for users who want to keep Outlook open while they're away.

Why There's No "Automatic Replies" Button in Outlook (For Hosting Email)

The Automatic Replies (also called Out of Office) button you see in Microsoft Outlook's File menu is a feature of Microsoft Exchange / Microsoft 365 — a server-side email platform that handles this natively. When you use a Microsoft 365 mailbox, Outlook communicates directly with the Exchange server to set and manage automatic replies.

If your email is hosted on a cPanel server — which is what EDZNET provides — Outlook is connecting via standard IMAP or POP3, not Exchange. These protocols don't support server-side automatic replies in the same way. That's why the button is either missing or greyed out in your Outlook when you check File → Automatic Replies.

This does not mean the feature doesn't exist. It means it lives in your hosting control panel, not inside Outlook.

cPanel Autoresponders: The Hosting-Level Solution

Every EDZNET email account comes with an Autoresponder feature built into your cPanel. This sends an automatic reply to anyone who emails you — server-side, without needing Outlook or any other email client to be open.

How to Set It Up

  1. Log in to your cPanel account (from your EDZNET client area, select your hosting plan and click Login to cPanel).
  2. Find the Email section and click Autoresponders.
  3. Select the domain you want to configure from the Managing dropdown in the top right.
  4. Click Add Autoresponder.
  5. Fill in the settings:
    • Character Set: Leave as utf-8 (the default).
    • Interval: How many hours to wait before sending the same person a second auto-reply. Set to 24 for a standard out-of-office — this means someone who emails you twice in a day only gets one auto-reply. Set to 0 to reply to every single message.
    • Email: The email address this autoresponder applies to (e.g. yourname@yourdomain.co.za).
    • From: The name that appears in the "From" field of the auto-reply (e.g. Your Name).
    • Subject: The subject line of the auto-reply (e.g. Out of Office).
    • HTML: Tick this if your message body uses HTML formatting.
    • Body: Your auto-reply message. For example:
Thank you for your email. I am out of the office until [date] with limited access to email.

If your matter is urgent, please contact [colleague name] at [email/phone].

Otherwise, I will respond to your message upon my return.
  1. Set a Start Time (Immediately, or a Custom date/time).
  2. Set a Stop Time (Never for indefinite, or a Custom date/time to auto-disable).
  3. Click Create.

The autoresponder is now live. It runs on the server — so it works whether your computer is on or off, and whether you use Outlook, webmail, or a phone to check your email.

Available Tags in the Body

cPanel autoresponders support placeholder tags that pull in information from the incoming message:

Editing or Removing an Autoresponder

Go back to cPanel → Autoresponders. You'll see a list of active autoresponders. From there you can Edit the message, change the schedule, or Delete it entirely when you're back.

The Outlook Rule-Based Alternative

If your email is hosted with EDZNET but you use Microsoft Outlook as your email client, there's another option: an Outlook rule that sends a reply using a template you've created.

This approach has an important limitation: Outlook must be running on a computer that stays on while you're away. The rule only works while Outlook is open and connected. If your laptop is shut, the rule doesn't fire.

If that's acceptable, here's how it works:

Step 1: Create an Out-of-Office Template

  1. Open Outlook and create a new email message.
  2. Enter a subject (e.g. Out of Office) and type your auto-reply message in the body.
  3. Go to File → Save As.
  4. Give it a name (e.g. Out of Office), and in the Save as type dropdown, select Outlook Template (*.oft).
  5. Save it to the default templates location (usually C:\Users\YourName\AppData\Roaming\Microsoft\Templates).

Step 2: Create the Rule

  1. Go to File → Manage Rules & Alerts.
  2. Click New Rule.
  3. Under Start from a blank rule, select Apply rule on messages I receive and click Next.
  4. Leave all conditions unchecked (to match every message) and click Next. Confirm Yes when asked to apply the rule to all messages.
  5. Under actions, select reply using a specific template.
  6. Click the underlined a specific template text, navigate to User Templates in File System, and select the template you saved earlier.
  7. Click Next, add any exceptions if needed, then Finish.

Remember: this rule only works while Outlook is open on a powered-on computer.

For most people, the cPanel autoresponder is the better choice. It works regardless of whether your computer is on, it doesn't depend on Outlook being open, and it handles the reply interval for you so you don't spam the same person if they email multiple times.

The Outlook rule approach is useful if you want fine-grained control — for example, only replying to certain senders, or using different templates for different days — and you can leave a machine running.

Frequently Asked Questions

Will the autoresponder reply to spam?

cPanel autoresponders ignore messages flagged by the spam filter with a score of 5 or higher, so most junk won't trigger a reply. However, sophisticated spam that passes filtering may still receive one — there is no way to completely prevent this with any autoresponder system.

Can I have different autoresponders for different email addresses?

Yes. Each email address on your account can have its own autoresponder with a different message, schedule, and start/stop dates.

What happens if someone emails me twice in one day?

With the default interval of 24 hours, they'll only receive one auto-reply in that window — regardless of how many emails they send. Set the interval to 0 if you want to reply to every message.

Does this work with Outlook on my phone too?

Yes — the autoresponder is server-side. It doesn't matter what device or app you use to check your email. The reply is sent by the server before the message even reaches your inbox.

My Outlook doesn't show the Automatic Replies button — is something wrong?

No. That button only appears for Microsoft 365 / Exchange accounts. If your email is hosted on cPanel (as with EDZNET), use the Autoresponders feature in cPanel instead.
